Running a business is enough work

Running a business is enough work without worrying about OHS compliance. Here is what an OHS consultant does, and what stays with you.

You’d never run your business without a CFO keeping your finances in order. So who is keeping your health and safety in order? OHS Navigator is a monthly health and safety retainer, built around your business. DDi’s health and safety consultants take the whole job of OHS compliance off your plate, the way a CFO does for your finances. It is outsourced health and safety, so there is no need to hire a full-time safety officer. You focus on your business, we take the stress of compliance away.

Everything OHS Navigator includes

Most businesses juggle several suppliers to stay compliant: one for training, one for the safety file, one for extinguishers, another for first aid boxes. With OHS Navigator it’s one OHS consultant and one monthly fee.

Your safety file and system

  • Safety file compiled, implemented and kept current. See what goes into a health and safety file.
  • OHS system, policies and procedures set up for the way your business works
  • Risk assessments (HIRA): a baseline assessment, then kept up to date
  • Legal appointment letters for the people the OHS Act requires you to appoint
  • OHS checklists your team can use every day

Training for your team

  • Training places every year: First Aid, Basic Fire Fighting and SHE Rep training, matched to what your workplace legally needs. See all our courses.
  • SHE committee set up, with minutes kept

Equipment and emergencies

  • Fire extinguishers serviced and refilled
  • First aid boxes replenished
  • Safety signage where it’s missing
  • Evacuation drills, with a report on how it went

Ongoing compliance

  • A site visit every 3 months, with a site observation report
  • Safety audits: an OHS compliance audit with a report and a compliance certificate
  • Incident and accident investigations when something happens
  • An annual compliance review
  • One call for compliance help whenever you have a question
  • Department of Labour inspection support, from the first question to the response to any notice
  • A digital copy of all your records, so nothing gets lost
  • Occupational medicals, arranged if your workplace requires them

How it works

OHS Navigator gets your business ready for an inspector in about 90 days, then keeps it there.

1. Identify

We visit your site, do a risk assessment and find the gaps. Each gap is linked to the part of the OHS Act it falls under, so you know exactly what needs fixing and why. Your legal appointments are done and your digital records are set up in the first 30 days.

2. Implement

We put the plan in place: extinguishers serviced, signage up, first aid boxes stocked, the first training done, the SHE committee running and an evacuation drill held. By day 90 your business is ready for an inspector.

3. Sustain

We keep it that way. A site visit every 3 months, reports after every visit, investigations when something happens, training as staff change, and support when the Department of Labour inspects.

Monthly or once-off

Most businesses choose OHS Navigator, because a safety file or an audit report only helps while someone keeps it current. If you need one job done, we do that too: a health and safety file (from R6 000 excl. VAT for a standard file) or a safety audit with a report.

Department of Labour inspection support

Picture it: a Department of Labour inspector walks in, unannounced. Is your health and safety file up to date? Are your training records current? When was your last audit?

With OHS Navigator, those questions are already answered. Your team knows what to do: ask for the inspector’s ID, call us, and have the safety file ready. We help you through the visit, and if the inspector issues a notice, we draft the response and the corrective action plan with you.

Who is OHS Navigator for?

  • Business owners and managers who would rather hand health and safety to someone who does it every day
  • Small businesses, growing companies and larger sites: offices and retail, warehousing, workshops and manufacturing. The retainer is built around your size and risk.
  • Companies without a full-time safety officer, who want an OHS consultant on call instead. Not sure what a safety officer does, or how the role differs from a SHE rep? Read Safety Officer Requirements and the Key Differences of a SHE Rep, or weigh up an in-house safety officer vs outsourced health and safety.
  • Businesses that already use several suppliers for training, audits, files and equipment, and want one health and safety consultant instead

How we build your health and safety retainer

There are no off-the-shelf packages. Every retainer is built for one business, in three steps.

1. Gap analysis

We assess where your business stands against the OHS Act: what is in place, what is missing and what needs fixing first.

2. A plan built from what it finds

The plan is sized to your headcount, your sites and your risk profile, so you pay for the work your workplace needs.

3. A monthly retainer to carry it out

We agree the scope with you up front, then do the work every month for one fixed fee.

What a retainer can cover

Depending on what the gap analysis finds, your retainer can include:

  • Keeping your safety file up to date
  • Risk assessments (HIRA)
  • Legal appointments
  • Training for your team
  • Site visits, with observation reports
  • Department of Labour inspection support
  • Incident and accident investigations

What shapes your retainer

  • The size of your company: how many people you employ and how many sites you have
  • Your current risk profile: an office carries different risks to a warehouse or a factory
  • What the gap analysis finds: how much needs to be put in place before it can be kept up

From our audits

What an inspector asks for first

It depends on the inspector, but when the Department of Employment and Labour arrives, this is what we see asked for most often, in this order.

  1. Your risk assessmentMost inspectors ask for the health and safety risk assessment first. It is the baseline for your company: what risks you have, what level they are at and how you reduce them. It shows your due diligence.
  2. Your health and safety fileMany companies have a file put together for them, but no risk assessment in it.
  3. Your SHE RepsWho they are, and that they are appointed and trained.
  4. Your first aiders and first aid kitWho your first aiders are, and the dates on their certificates.
  5. Who trained themThat the training provider carries a Department of Labour approval number on the certificate.
  6. Your fire fightersSome inspectors ask fire fighters to show the PASS method and name the extinguishers in their area.
  7. Forklift licencesIf you use forklifts, that the drivers are trained and their licences are up to date.

What gets companies into trouble

Most often: incomplete health and safety files, no risk assessment, first aiders and fire fighters who are not trained, no SHE Reps, and forklift licences that are out of date. A system is only as good as how well it is implemented, applied and kept up to date.

We often get frantic calls for urgent first aid or fire fighting training because the inspector arrived and nobody had checked the certificates. Start with a risk assessment instead.

Two OHS Navigator stories

A safety file in days, so a business could open

A client needed an OHS file for its accreditation and company registration, and didn't know where to start. We designed the electronic file with OHS Navigator and had it up and running within a few days. They passed the inspections and got the registration they needed to start trading.

Prohibition notices lifted within days

The Department of Labour arrived at a company and issued prohibition notices. We met, set a plan to implement and to show the Department the work, and within a few days put the documents together and added them to the health and safety file. The Department approved it, the notices were lifted, and the company is still operating today.

FAQ

OHS Navigator questions

Anything else? Call 061 566 6010.

Do I need a health and safety consultant?

For most workplaces the law does not make you hire one, but the OHS Act makes the employer responsible for a safe workplace: a risk assessment, legal appointments, trained first aiders and the records to prove it. If nobody in your business has the time to keep that current, a health and safety consultant does it for you.

What does a health and safety file include?

For most workplaces: your health and safety policy, the risk assessment, legal appointment letters such as SHE Reps and first aiders, training certificates, the incident register, your emergency and evacuation plan, equipment inspection records and a copy of the OHS Act. We build it for your site and keep it current.

How much does a health and safety retainer cost?

It depends on your business: how many people you employ, how many sites you have, your risk profile and what the gap analysis finds. So every OHS Navigator retainer is quoted individually, as one fixed monthly fee instead of big once-off bills. Start with a gap analysis and we'll build the retainer from what it finds.

How often do you visit our site?

Every 3 months. Each visit ends with a site observation report: what is in order, what needs attention, and by when.

Are medicals included?

We arrange occupational medicals if your workplace requires them. Not every business needs them, so they are part of your retainer only where the risk assessment calls for them.

What happens when a Department of Labour inspector arrives?

Call us. Your safety file, appointments and records are already in order, we help you through the visit, and if the inspector issues a notice we draft the response and the corrective action plan with you.

Who is the contract with?

OHS Navigator is contracted by Dynamic Development Institute (Pty) Ltd, the company behind DDi, established in 2013 in Centurion.

Am I still responsible for health and safety?

Yes. Under the OHS Act the CEO stays accountable for health and safety. OHS Navigator does the work and keeps you advised, so you can carry that responsibility with confidence.
